Responsibilities of Winter Trips Chairperson

The Winter Trips Chairperson is responsible for overseeing the ski trips that involve overnight travel, usually five to ten days in length, weekend trips and day trips. This responsibility includes analysis of the number of seats offered, dates, locations, communications with Trip Leaders and travel agencies, review of contracts, and communicating with Council. This position also oversees the day trip coordinator. The position may be held by two members as Co-Chairpersons, when Council deems it appropriate.

 Duties

Recommend winter trip destinations and proposed dates to Council:

  • Conduct a survey to determine where members would like to go.

  • Review desired destinations for appropriateness, based on ski pass requirements (i.e. Ikon, Epic, or independent), time since last trip to the location, and similar pertinent factors.\\

  • Select an appropriate number of trips, based on projected member participation using the current year number of trips and sign-ups as a guideline.

  • Develop a calendar for the survey, trip selection, trip leader selection and tour operator pricing.   

  • Present the proposed list of trips and dates to Council.

Recruit Trip Leaders:

  • Seek out club members who are interested in leading a ski trip

  • Provide the resources needed to be successful at leading club ski trips.

  • Monitor their initial trip volunteering and make sure they will be competent ski trip leaders

Train Trip Leaders:

  • Provide detailed guidelines and accounting procedures including club policy, contingency funds, membership guidelines.

  • Review Trip Leader and Assistant Leader guidelines and responsibilities

  • Provided trip leader training a least every other year.

Recruit and manage the day trip ski coordinator:

  • Provide guidance and training for the day trip coordinator.

  • Monitor the day ski trip activities to confirm they in accordance with past trips and council’s requirements.
