President

The President of the Wilmington Ski Club is responsible for overseeing and coordinating the day-to-day activities of the Ski Club to ensure these activities are in conformance with the Ski Club Bylaws and the policies and guidelines established by Council. This is effected through personal efforts and through the efforts of the other Ski Club Officers, the Council Members, and the Coordinator positions within the Ski Club. The President is also responsible for conducting the monthly Council meetings.

 Duties

 1.      Annually:

a.       Develops a budget for the next fiscal year with the Treasurer
b.      Appoints a Nominating Committee for the annual election of Ski Club Officers.
c.       Nominates Council positions to Executive Committee for approval.
d.      Establishes annual club goals with the Executive Committee.

2.      Monthly:

a.       Develops an agenda for the Council Meetings
b.      Transmits agendas to Secretary for mailing
c.       Chairs Council meetings
d.      Reports as Council Members in their absence.
e.       Provides a cover letter to Scrapings or assigns the cover letter responsibility at least one month in advance to another Ski Club member

3.      On-going:

a.       Ensures that Council members are aware of their duties and authority under the Ski Club Bylaws, Guidelines, and Policies
b.      Monitors the performance of individual Council members and individual Ski Club Officers in executing their duties and exercising their authority
c.       Signs contracts on behalf of the Ski Club as authorized by Council
d.      Is accessible to the general membership, where possible, and provides answers or resolution to issues involving established Ski Club Policies or Guidelines or issues not covered by the same, with the advice of Council as practicable
e.       Develops new leadership capability within the Ski Club to ensure the ongoing effectiveness of Ski Club leadership including Council.

Vice President

The Vice President of the Wilmington Ski Club handles the duties of the President in the President’s absence. The Vice President is also the Interclub Representative to the Eastern Pennsylvania Ski Club Council.

 Duties

 1.      Annually:

a.       Votes, with other Officers, to appoint Council Members as provided for in Article III Section 2 of the Wilmington Ski Club Bylaws.
b.      Arranges for publication of the Familiarization Trips (FAM) policy in the October club newsletter
c.       Works with the President to establish annual club goals.

2.      Monthly:

a.       Reports to Council on interactions with the Eastern Pennsylvania Ski Club Council
b.      Reports to Council on FAM and Business Appreciation trips, including updates on club members who are scheduled on or have completed a FAM or Business Appreciation Trip.

3.      On-going:

a.       Assumes the duties of the President in his/her absence. Such duties include conducting Council Meetings and conducting official Ski Club business at a general membership meeting
b.      Represents the Ski Club within regional ski club councils.
c.       Organizes and administers the FAM/Business Appreciation policy.
d.      Acts on behalf of the Ski Club, in concert with or in the absence of other Club Officers, on matters that require input from or decisions by a Ski Club Officer
e.       Is accessible to the general membership, where possible, and provides answers or resolution to issues involving established Ski Club Policies or Guidelines or issues not covered by the same
f.       Assists the President in developing new leadership capability within the Ski Club to ensure the ongoing effectiveness of Ski Club leadership including Council
g.       Works on special projects as assigned by the President or by Council

Secretary

The Secretary of the Wilmington Ski Club is responsible for recording Council meetings, maintaining Ski Club records and forms, and for correspondence on behalf of the Wilmington Ski Club.

Duties

1.      Annually:

a.      Votes, with other Officers, to appoint Council Members as provided for in Article III Section 2 of the Wilmington Ski Club Bylaws.
b.       Develops an estimate of the budget needed for maintaining club forms.
c.        Reviews club records for completeness and accuracy, and effects transfer of these records to the incoming Secretary.

2.       Monthly:

a.       Records minutes of Council Meetings.
b.       Presents draft minutes of the past Council Meeting at each successive Council Meeting for approval.
c.      Submits minutes of Council Meetings to the Newsletter Editor for publication in the monthly newsletter.
d.       Transmits monthly meeting agenda to Council Members.

3.      On-going:

a.       Maintains a master set and a supply of Ski Club forms such as sign up waivers, membership applications and accounting forms.
b.       Maintains a set of Ski Club records including Council Minutes and approved Motions for at least the past seven years. Also maintains a list of Ski Club property.
c.       Oversees storage of Ski Club archives and records.
d.       Acts on behalf of the Ski Club, in concert with or in the absence of other Club Officers, on matters that require input from or decisions by a Ski Club Officer.
e.       Is accessible to the general membership, where possible, and provides answers or resolution to issues involving established Ski Club Policies or Guidelines or issues not covered by the same.
f.      Assists the President in developing new leadership capability within the Ski Club to ensure the ongoing effectiveness of Ski Club leadership including Council.
g.      Works on special projects as assigned by the President or by Council.

Treasurer

The Treasurer of the Wilmington Ski Club is responsible for maintaining the Ski Club Treasury as specified in the policy “Club Treasury and Financial Management.”

Duties

1.      Annually:

a.       Votes, with other Officers, to appoint Council Members as provided for in Article III Section 2 of the Wilmington Ski Club Bylaws.
b.       Develops a budget for the next fiscal year with the President.
c.        Works with the President to establish annual club goals.
d.        Provides annual training on Trip/Activity financial reporting to potential Trip/Activity leaders. Such training will be conducted at the same session as other Trip/Activity leader training arranged by the Winter Trips Chairperson and the Activities Chairperson.

2.      Monthly:

a.       Reports financial status to the Council using the format specified in the policy “Club Treasury and Financial Management.”
b.       Transfers Ski Club monies between accounts as specified in the Investment Instructions from the Financial management Committee.
c.       Chairs Council meetings in the absence of both the President and Vice-President.

3.      On-going:

a.      Makes deposits to and writes checks from the General Funds and the Trips/Activity Fund as specified in the policy “Club Treasury and Financial Management.”
b.       Is accessible to the general membership, where possible, and provides answers or resolution to issues involving established Ski Club Policies or Guidelines or issues not covered by the same.
c.      Develops new leadership capability within the Ski club to ensure the ongoing effectiveness of Ski Club leadership including Council.

Assistant Treasurer

The Assistant Treasurer of the Wilmington Ski Club is responsible for auditing Trip/Activity reports as described in the policy “Club Treasury and Financial Management.” The Assistant Treasurer is also responsible for other duties as assigned by the Treasurer.

Duties

1.      Annually:

a.       Votes, with other Officers, to appoint Council Members as provided for in Article III Section 2 of the Wilmington Ski Club Bylaws.
b.       Works with the President to establish annual club goals.
c.       Provides annual training on Trip/Activity financial reporting to potential Trip/Activity leaders. Such training will be conducted at the same session as other Trip/Activity leader training arranged by the Winter Trips Chairperson and the Activities Chairperson.

2.      Monthly:

a.       Reports Trip/Activity audit results to the Treasurer.

3.      On-going:

a.       When the Treasurer is out of town for extended periods, makes deposits to and writes checks from the General Funds and the Trips/Activity Fund as specified in the policy “Club Treasury and Financial Management.”
b.      Is accessible to the general membership, where possible, and provides answers or resolution to issues involving established Ski Club Policies or Guidelines or issues not covered by the same.
c.       Develops new leadership capability within the Ski club to ensure the ongoing effectiveness of Ski Club leadership including Council.
